A reliable electric motor supplier can document the exact motor you are buying, show how the production batch will be checked, and commit to a written delivery plan.Send one model-specific RFQ to every shortlisted factory. Compare documents and samples before committing to a container order. A low price or a certificate image alone is not enough.
This guide is for importers, distributors and machinery OEM buyers sourcing IEC electric motors from China. Use the questions below as a procurement checklist and keep the answers with your purchase order.
Two quotations for the same rated power may describe different products. Ask each supplier to quote the same specification and to identify any assumptions.
RFQ field
What to request
Sollicitatie
Driven machine, load characteristics and starting conditions
Electrical rating
Output power, voltage, frequency, phase, poles or rated speed, and starting method
Mechanical fit
IEC frame, shaft dimensions, mounting, flange and terminal-box position
Bedrijfsomstandigheden
Duty cycle, ambient temperature, altitude, enclosure protection and cooling
Commercial scope
Quantity by model, sample requirement, nameplate, packaging, destination and shipping terms
Request a model-specific datasheet and dimensioned drawing. For a replacement motor, send photographs of the old nameplate and mounting interface. If you do not know a field, write “to be confirmed” instead of allowing an unrecorded assumption. See theDongchun IE3 motor rangefor product-family information; confirm the exact model and configuration before ordering.
2. Check certificates against the exact model and destination
Ask for the full document, issuing body, number, validity dates, legal manufacturer and model scope. A document covering a different frame, efficiency class or voltage does not prove compliance for your order.
Quality management:If a supplier provides an accredited ISO 9001 certificate, check the entity and scope through the issuer orIAF CertSearch. ISO 9001 concerns a management system; it does not prove the efficiency of a particular motor.
EU conformity:For an EU-bound product, ask which legislation applies and request the EU Declaration of Conformity and supporting technical documentation where applicable. TheEuropean Commissionsays the manufacturer is responsible for conformity assessment and the declaration. A CE mark alone does not identify the test evidence or covered model.
Efficiëntie:Ask which test record supports the stated IE class and whether it covers your model, pole count and frequency.IEC 60034-30-1defines efficiency classes for line-operated AC motors within its scope.
Third-party certification:When a TÜV or other third-party certificate is provided, verify its number and scope with the issuer. Do not assume one certificate covers an entire catalogue.
Document requirements depend on the destination and application. Agree on them before ordering, especially if you will resell the motor under your own brand.
3. Confirm that the production batch matches the sample
An approved sample is useful only when the production order refers back to it. Attach the signed datasheet, drawing, nameplate artwork and agreed performance requirements to the purchase order. Record every approved change in writing.
Ask which checks are performed on each unit and which are sampled. Request an example of the actual test record and ask how it is linked to the motor or batch. Depending on the motor and agreed specification, records may include electrical tests, insulation checks, no-load measurements, vibration checks and dimensional inspection. Acceptance limits must come from the model-specific specification; a generic number copied from another motor is not enough.
For a first order or critical project, arrange a pre-shipment inspection with a written sampling plan. Compare selected packed motors, nameplates and dimensions with the approved sample and purchase documents. Factory photographs provide context, but cannot replace records tied to the goods shipped.
4. Put delivery and communication milestones in writing
A lead-time quote should say what starts the production clock: deposit receipt, drawing approval, sample approval or material availability. Ask the supplier to show the dates for specification approval, production start, in-process review, final testing, pre-shipment inspection, packing and carrier handover.
Agree on update frequency, a named contact and an escalation route. Ask how a specification change or failed inspection affects the schedule. No universal number of days describes every motor configuration or order size; obtain a written commitment for your actual order.
Private-label buyers should approve the nameplate, carton, manual and required language before production. Confirm mixed-model loading, spare parts, claim handling and shipping documents as part of the order confirmation.
5. Compare suppliers with one evidence sheet
Decision
Evidence to keep
Will the motor fit the machine?
Model-specific datasheet, drawing and agreed nameplate
Are documents relevant?
Issuer, number, validity, legal entity and covered models
Will the batch match the sample?
Approved sample record, order specification and inspection plan
Can delivery be managed?
Dated milestones, contact person and change procedure
Can problems be resolved?
Written warranty scope and claim process
A blank answer is a follow-up question, not an assumed match. Compare the evidence for the exact motor before comparing unit prices.
Working with Dongchun
Dongchun supplies single-phase and three-phase electric motors for wholesale and OEM orders. Send us the model list, application, destination market, quantities and any old nameplate or drawing. We will confirm the proposed configuration, relevant documents, inspection scope, commercial terms and lead time for that enquiry. Please check any certificate against the exact model before using it in your own sales material. If you are planning a repeat wholesale range, see ourdistributor partnership pagefor the RFQ and order process.
